CBC M-Pesa Opening soon

Collect fees, publish report cards and run the whole school from one system built for CBC

A multi-school system for Kenyan CBC primary and junior schools, PP1 to Grade 9. We are opening it to its first schools, with close support and the terms written down first.

Opening soon. The system is built and tested, and we are choosing the first schools to pilot it with close support.

School Management System is for you if

  • Owners and head teachers of private CBC primary and junior schools who want fees, results and records in one place.
  • Bursars and accountants who chase fee balances and reconcile M-Pesa payments by hand.
  • Groups of schools whose directors want to compare learners, fees and attendance across schools.

What it fixes

Fees are slow to collect and hard to reconcile

Fee items per grade and term become invoices and receipts. Parents pay by the school's own Paybill or a pay-now prompt, and payments that cannot be matched wait for review.

Report cards take weeks

Marks are weighted, graded on the CBC levels (four in primary, eight in junior school), analysed by class, and turned into report cards you can print or publish to parents.

Parents are the last to know

Parents sign in with their phone number to see attendance, results, fees and homework, and the school can send SMS for absences, receipts and fee reminders.

What it does

Learners and guardians

Admissions one at a time or from a CSV, guardians matched by phone, promotion between classes, transfers and numbered leaving certificates.

Attendance

Daily class registers that can be filled in offline and sent when the connection returns, plus absence SMS to parents.

Exams and CBC

Assessment types, weighted marks, CBC grading, strands and sub-strands, competencies, and learner portfolios with photo, audio and video.

Timetable and teaching

Timetables filled without teacher clashes, schemes of work, lesson plans and a duty roster with relief cover.

Fees and M-Pesa

Fee items, discounts, term invoices, receipts and balances, with a Paybill per school and a pay-now prompt.

A parent portal

Attendance, report cards, fees and receipts, homework and the class timetable, in English or Kiswahili.

Messaging

Announcements by SMS or email to a grade, a class or families with a balance, with templates, scheduling and parent opt-out.

Library, boarding and health

A library with lending and overdue notices, dormitories and exeats, and a nurse's sickbay log with parent SMS.

Staff, spending and stores

Leave with approvals, purchase orders, expenses and petty cash with head-teacher approval, and a school store.

Accounting

A double-entry ledger with a Kenyan vote-head chart of accounts, budgets against actuals, bank reconciliation from statement files, and month closing.

Payroll

Staff pay with PAYE, NSSF, SHIF and Housing Levy from rates your administrator maintains, monthly approval, payslips and a bank file.

Reports and exports

A report builder with CSV download, and KEMIS learner and KNEC SBA export files with editable columns.

Control and security

Roles and permissions per school, modules switched off when you do not use them, two-factor sign-in for sensitive roles, a sign-in history and an activity log.

Good to know before you start

We would rather you hear this now than find out in week two.

  • It is not yet in daily use in a school. The first schools pilot it with close support, and this page will say so when that changes.
  • KEMIS and KNEC exports give you files to upload. It does not submit anything to the Ministry or KNEC for you.
  • Parent SMS needs your own Africa's Talking account and credits. M-Pesa Paybill and prompts need your own Safaricom approval, which takes days. We handle the technical setup with you.
  • Payroll rates are kept by your administrator and should be confirmed with your accountant. The figures are not tax advice.
  • It is not endorsed or approved by any education authority.

How a pilot works

Nothing starts until you have the terms in writing.

  1. Tell us about your business

A short chat on WhatsApp or a call: what you do, how many people use it, and how you get paid today.

  2. We set it up with you

We load your products or records, set up your staff, and show them how to use it.

  3. Run it as a pilot

You use it in your real business for an agreed period with support on WhatsApp. The pilot price and terms are written down before we start.

  4. You decide

At the end we review the results together. You continue on an agreed monthly plan or stop, and your records can be exported.

Common questions

Is it already used in schools?

Not yet. It is built and tested, and we are choosing the first schools to pilot it with close support. The pilot price and terms are written down before we start.

Can it match our fee structure and grading?

Fee items, discounts, term invoices, grading bands and which modules are on are set per school. Anything beyond that can be scoped as custom work, in writing, before it is built.

Do parents need to install anything?

No. Parents sign in with their phone number on the school's parent portal, in English or Kiswahili.

Does it work without internet?

Daily class attendance registers can be filled in offline and sent when the connection returns. Most other pages need a connection.

How are learners' records protected?

Learner documents are visible only to admin roles and every opening is logged. Health and staff ID and pay fields are encrypted, sensitive roles use two-factor sign-in, and the system backs up nightly. How your records are returned or deleted if you leave is written down before the pilot starts.

Can a group of schools use it together?

Yes. Schools can be grouped under one organisation so directors can switch between them and compare learners, fees, payroll and attendance.

How much does it cost?

We quote per school and put the price and the pilot terms in writing before anything starts. Ask us on WhatsApp.

Tell us about your school and we reply within 24 hours to arrange a walkthrough and agree the pilot terms in writing.
